Reusable diligence records: how shared evidence works

A reusable diligence record is one maintained set of organizational evidence that many institutions can read, each through their own private criteria. It only works if three questions have clear answers: who controls it, where each fact came from, and who is allowed to see what.

Control sits with the organization

The organization being reviewed maintains the record and decides who may read it. That is what makes it maintainable — the party with the strongest incentive to keep it current is the one holding the pen. It also rules out the alternative model, where a third party assembles a profile the organization cannot correct.

Provenance is the whole basis of trust

Every item needs to carry where it came from, when it was provided, and when it was last confirmed. Without that, a reused record is just an older copy of a document, and an institution is right to re-collect it.

  • Source of the item, stated plainly
  • Date provided and date last confirmed
  • What changed since an institution last read it
  • Who at the organization is accountable for it

Permissioning keeps criteria private

Institutions will not put their credit or grant criteria into shared infrastructure that exposes them. The record is shared; the lens is not. One institution can never see another institution's thresholds, weightings, or decisions.

What reuse does not remove

It does not remove the review, the judgement, or institutional accountability. It removes the third re-collection of the same audited financial statement in one year.
